1. Who we are and how to contact us
References to “we” and “us” mean the business operating as 4A Fitted Furniture, providing fitted furniture services in Dublin and Leinster through 4afittedfurniture.ie.
For questions about this policy or a privacy request, email info@4afittedfurniture.ie.
2. Information we collect
When you request a quote, we collect your name, email address, telephone number, Eircode or area, project type, estimated budget, preferred timing and the project description you provide. If you contact us directly, we also receive the information in that correspondence.
You may choose to upload project photographs, drawings or other supported files. Please send only information relevant to your project and avoid including identity documents, sensitive information or photographs of other people without an appropriate reason.
Technical information may include IP addresses, browser information, request times and security logs. The enquiry system also records upload-session identifiers and file metadata to validate uploads, prevent duplicate submissions and investigate failures.
3. Why we use your information
We use enquiry details and project files to understand your requirements, assess the work, communicate with you, prepare a quotation and take the steps you request before a contract. If a project proceeds, relevant information is used to plan and deliver the agreed work and handle follow-up questions.
Technical and security information helps operate the website, prevent abuse and resolve delivery problems. Enquiry photographs are not automatically published in our public gallery.
4. Lawful bases
Processing necessary to respond to a requested quotation or deliver agreed work may be based on taking steps at your request before entering a contract, or performing that contract. Necessary website security and handling business correspondence may rely on legitimate interests, balanced against your rights. Legal obligations may require us to retain particular business records.
The form checkbox acknowledges that you have read this information; it does not make consent the sole basis for all processing. Where we separately rely on consent for a particular use, you can withdraw it by contacting us. Withdrawal does not affect processing that was lawful before withdrawal.
5. People and services handling information
Information is available to people authorised to deal with your enquiry or project and to service providers supporting those activities. Our website uses Supabase for enquiry records and private storage of project files, Resend for enquiry emails, and Vercel for hosting and request processing.
Uploaded files are sent directly from your browser to private Supabase Storage using a limited-life upload permission. Their references are attached to the enquiry only after validation. Authorised administrators can open files through temporary access links.
Enquiries and replies may also be handled in our business email system. Where Google Workspace is used for that mailbox, Google processes the email content as part of providing that service. Contact us for details of the email arrangements relevant to your correspondence.
Relevant project details may need to be shared with people involved in providing the requested work or with professional advisers where necessary. We do not use the quote form to enrol you in an advertising mailing list.
6. International processing
Our service providers may process information in countries outside Ireland or the European Economic Area, depending on the services and account settings used. Transfers outside the EEA require an applicable legal transfer mechanism. Depending on the recipient and circumstances, safeguards may include an adequacy decision or appropriate contractual safeguards such as standard contractual clauses.
You can contact us to ask where information relevant to your enquiry is processed and about the safeguards applicable to it.
7. How long information is kept
Retention depends on whether an enquiry is ongoing, whether it leads to work, the information needed for that work and aftercare, applicable record-keeping obligations and any need to establish or defend legal claims. We do not specify a single fixed period for every enquiry in this policy. You can ask us about the retention criteria applicable to your records or request deletion where the right applies.
Unfinished or failed uploads can leave temporary files and session records. The system attempts to remove files when an upload or submission fails, but this is not a guarantee of immediate deletion. Closing the browser before completion can leave files requiring later maintenance. The expiry of an upload permission does not itself delete an uploaded file.
8. Your rights
Depending on the circumstances, you may have rights to access your personal data, correct inaccuracies, request erasure, restrict processing, object to processing and receive or transfer data where portability applies. These rights are subject to the conditions and exceptions in applicable data protection law.
Send requests to info@4afittedfurniture.ie. We may need information to verify your identity before disclosing or changing personal records. Please do not send identity documents unless we explain why they are needed.
You also have the right to complain to the Irish Data Protection Commission. We welcome the opportunity to address a concern directly, but you do not have to contact us first.
9. Website storage and external links
The website can store public pages and images on your device for an offline presentation. Presentation settings use local browser storage; demonstration enquiries are not sent as real quote requests. Administrator sign-in uses authentication cookies. The current website does not include advertising pixels or an analytics tracking integration.
If you follow a link to WhatsApp, social media or another external service, that provider handles information under its own privacy terms.
10. Providing information and changes to this policy
Project files are optional. The contact and project details marked as required in the quote form are needed to assess and respond to that enquiry. If you prefer not to use the form, contact us by email to discuss an alternative. We do not use this form to make automated decisions producing legal or similarly significant effects about you.
This policy may be updated when the website, our services or relevant requirements change. The date above identifies the latest version.
